These Terms and Conditions apply to all bookings and services provided by Golf Sherpa LTD ("we", "our", "us"). By placing a booking with us, you agree to the following terms.

1. Company Information

2. Our Services

Golf Sherpa provides full-service golf trip planning, including:

• Booking tee times and accommodation on your behalf

• Tiered experience packages (Yardage Book, Caddy, Sherpa)

• Access to our mobile app for itinerary planning and concierge support

We act as your booking agent for all accommodation and golf courses included in your selected package.



3. Booking & Payment

• Bookings are made directly with Golf Sherpa LTD.

• Customers are charged directly for their packages and any add-ons.

• A non-refundable deposit is required at the time of booking.

• The remaining balance must be paid according to the schedule outlined in your confirmation.



4. Cancellations & Refunds

•Cancellations made 30+ days prior to the trip start date are eligible for a refund minus the deposit.

•Cancellations made under 30 days before the start date are non-refundable.

•All deposits are non-refundable.

•If a golf course or partner venue is closed (e.g., weather), we will liaise with them to attempt to rearrange your itinerary. Availability and rescheduling decisions are at the partner’s discretion.


5. Travel Insurance Requirement

Travel insurance is mandatory. Golf Sherpa LTD cannot be held liable for cancellations, lost items, weather disruptions, injury, or medical costs.

We require all customers to obtain comprehensive travel insurance that covers cancellations, delays, lost luggage, medical expenses, and golf equipment.


6. Force Majeure

We shall not be held liable for any failure or delay in performing our obligations due to events beyond our control, including but not limited to: extreme weather, pandemics, travel restrictions, strikes, war, government actions, transport failures, or natural disasters.


7. Traveller Behaviour & Course Etiquette

All travellers are expected to comply with:
• Golf course rules and dress codes
• Codes of conduct and local regulations

Failure to do so may result in exclusion from certain venues or removal from the itinerary, with no refund.

You are responsible for reviewing course-specific rules, which can be found on the official websites of our golf partners.


8. Package Inclusions & Exclusions

Each Golf Sherpa package clearly outlines what is included (e.g., tee times, accommodation).

Unless explicitly stated, the following are not included:
• Travel to and from the destination
• Golf club or buggy hire
• Meals and beverages
• Caddies or guides
• Travel insurance
• Personal expenses and gratuities

9.1 Our Role

Golf Sherpa LTD is a Data Controller for customer information provided during booking, and a Data Processor for certain data we handle on behalf of golf venues, accommodation providers, and group organisers.

9.2 Personal Data We Collect

We collect only the information needed to organise your golf trip and provide app functionality. This may include:

• Contact details

• Booking preferences

• Group information

• Player or scoring details (for the Golf Sherpa app)

9.3 How We Use Personal Data

We use your personal data to:

• Arrange tee times and accommodation

• Manage bookings and itineraries

• Provide customer communication

• Support app features

• Meet legal and financial obligations

9.4 Data Sharing With Partners

We share only the minimum necessary information with golfing venues, accommodation partners, and service providers to complete your booking.

Partners must handle your data securely and use it only for the purpose of fulfilling your reservation.


9.5 Third-Party Service Providers

We use GDPR-compliant platforms (including Firebase/Google Cloud) for secure storage and processing of data.

These providers use encryption, access controls, and modern security standards.


9.6 Data Subject Rights

You have the right to:

• Access your data

• Request corrections

• Request deletion (where applicable)

• Restrict or object to processing

• Request data portability

• Withdraw consent for marketing

9.7 Data Security

We take reasonable technical and organisational measures to keep your data secure, including:

• Encrypted systems

• Restricted access

• Secure transmission of data

9.8 Data Retention

We retain personal data only as long as required to fulfil bookings, provide services, or meet legal obligations.

Data is securely deleted or anonymised afterwards.


9.9 Data Breach Notification

In the unlikely event of a personal data breach that may affect your rights or freedoms:

• We will notify you without undue delay

• We will notify the ICO when legally required


10. ‘Be a Sherpa’ – Referral Rewards Programme

Terms & Conditions**

These Terms & Conditions apply to the Be a Sherpa Referral Rewards Programme (“the Programme”) operated by Golf Sherpa LTD (“Golf Sherpa”, “we”, “us”, “our”).

By taking part in the Programme, you agree to the following terms.

1. What the ‘Be a Sherpa’ Programme Is

The Be a Sherpa Programme rewards individuals and organisations who introduce golf groups to Golf Sherpa for the purpose of planning and booking a golf trip.

You make the introduction.

Golf Sherpa plans and manages the trip.

If the group books, travels, and completes their trip, you receive a thank-you referral reward.

2. Who Can Take Part

The Programme is open to, but not limited to:

  • Golf clubs and golf professionals
  • Society organisers and committee members
  • Businesses and corporate contacts
  • Individuals connected to golfers planning a group trip

There is no fee to join the Programme.

3. What Counts as a Valid Referral

A valid referral must meet all of the following conditions:

  • The group is new to Golf Sherpa and has not previously enquired or booked
  • The referral results in a confirmed group booking
  • The group travels and completes their trip
  • The referring individual is not the lead organiser of the group
  • The referring individual does not travel on the trip

Self-referrals and existing client referrals do not qualify.

4. Referral Rewards

Referral rewards are paid per completed group booking, not per golfer.

  • £50 for completed bookings of 6–15 golfers
  • £100 for completed bookings of 16 or more golfers

Rewards are fixed and non-negotiable.

5. How Referrals Are Tracked and Confirmed

Referrals are tracked and verified as follows:

  • When a group booking is confirmed, the lead organiser is asked in their booking confirmation email whether the booking was referred and, if so, by whom
  • The lead booker will also have the opportunity to inform of us a referral via email or when speaking to our advisors.
  • The name provided by the organiser at this stage is used as the final and definitive referral record
  • Golf Sherpa cannot amend referral attribution after confirmation

If more than one person claims a referral, the organiser’s confirmation will be used as the deciding factor.

6. When and How Referral Rewards Are Paid

  • Referral rewards are paid only after the group has completed their trip
  • Cancelled, shortened, or incomplete trips do not qualify
  • Payments are made via bank transfer
  • Payment is typically made within 14 days of the trip finishing

It is the responsibility of the referrer to provide accurate payment details when requested.

7. No Partnership or Agency Relationship

Participation in the Programme:

  • Does not create a partnership, agency, employment, or representative relationship
  • Does not permit you to sell Golf Sherpa services, agree pricing, or make commitments on our behalf
  • Does not grant permission to use Golf Sherpa branding unless explicitly agreed in writing

All trip planning, pricing, communication, and bookings are handled solely by Golf Sherpa.

8. Limits and Fair Use

  • There is no limit on the number of qualifying groups you may refer
  • Golf Sherpa reserves the right to refuse or withhold referral rewards where abuse, misrepresentation, or manipulation of the Programme is suspected
  • Decisions made by Golf Sherpa regarding eligibility and payments are final

9. Programme Changes or Withdrawal

Golf Sherpa reserves the right to:

  • Amend these Terms & Conditions
  • Change referral reward values
  • Pause or withdraw the Programme at any time

Any changes will apply to future referrals only and will be published on our website.
