Refund & Cancellation Policy

This Refund & Cancellation Policy explains how cancellations, refunds and changes are handled across Golf Sherpa services. This policy should be read alongside our Terms & Conditions, App Terms, Event Terms, Venue Software Terms and any booking confirmation, proposal, invoice or written agreement.

1. Different Services Have Different Cancellation Rules

Golf Sherpa provides different types of services, including:

  • Golf packages
  • Golf trips
  • Tee time and accommodation coordination
  • Corporate golf days
  • Charity golf events
  • Tournaments and competitions
  • App services
  • Venue software
  • Organiser software
  • Bespoke event support

Cancellation and refund rights depend on the type of service purchased and the terms confirmed at the point of booking.


2. Golf Packages and Trips

Unless your booking confirmation states otherwise:

  • Deposits are non-refundable.
  • Cancellations made more than 30 days before the trip start date may be eligible for a refund of amounts paid, less the deposit and any non-recoverable third-party costs.
  • Cancellations made 30 days or less before the trip start date are non-refundable.
  • Third-party supplier cancellation terms may also apply.

Where hotels, golf courses or other suppliers apply stricter cancellation terms, those terms may affect the refund available.


3. Events and Tournaments

Unless stated otherwise for the specific event:

  • Entry fees are non-refundable within 30 days of the event.
  • Cancellations more than 30 days before the event may be eligible for a refund or credit, less any non-recoverable costs.
  • No refund will be provided for non-attendance, late arrival, disqualification or removal for misconduct.

4. Corporate and Charity Golf Days

Corporate and charity golf day cancellation terms will be set out in the proposal, invoice or event agreement.

Unless stated otherwise:

  • Deposits and setup fees are non-refundable.
  • Cancellations within 30 days are non-refundable.
  • Any third-party costs already committed will be deducted from any refund.
  • Changes to player numbers may affect pricing.

5. Venue Software and SaaS Subscriptions

SaaS subscription fees are billed in accordance with the subscription plan or order form.

Unless stated otherwise:

  • Monthly subscriptions can be cancelled at the end of the current billing period.
  • Annual subscriptions are non-refundable once the term has started.
  • Onboarding, setup, training and bespoke configuration fees are non-refundable.
  • Access may continue until the end of the paid period unless terminated for breach.

6. App Payments and Digital Services

Where paid app features, subscriptions or digital content are purchased, refund rights may depend on the platform used, such as Apple App Store, Google Play or Stripe.

Where a statutory right applies, Golf Sherpa will honour it.

Where a purchase is made through an app store, the app store’s refund process may apply.


7. Weather Disruption and Venue Closures

Golf is an outdoor activity and may be affected by weather, course conditions, daylight, safety restrictions or venue decisions.

If a golf course, venue or supplier closes due to weather, safety or operational reasons, we will work with the supplier to try to rearrange the booking.

Refunds, credits or alternative arrangements will depend on the supplier’s policy and the circumstances.

Golf Sherpa is not responsible for weather conditions or course closure decisions made by venues.


8. Refund Method and Timing

Where a refund is due, it will usually be made to the original payment method.

Refunds will be processed within a reasonable period after the refund has been confirmed.

Some payment providers may take additional time to return funds.
